Sandy Spring Bank is currently recruiting for a HR Assistant. This position offers administrative support to the Human Resources Department. The HR Assistant must have a high level of initiative, good problem-solving skills and judgment, and have the ability to handle multiple priorities. The ability to deal appropriately with sensitive and confidential information is critical to the overall success of this position. A high degree of professionalism is expected in all interactions.

Major Job Accountabilities

  • Assist with day-to-day operations of the HR functions and duties.
  • Assist with all internal and external HR related inquiries or requests. Provide proactive, professional and remarkable client service by finding solutions through a thorough understanding of policies, processes and technology.
  • Provide recruiting admin support to the Employment Team (such as processing new hires into HRCentral, background checks, tracking employee information, providing termination documents, sending correspondence, compiling data, etc. ). Assist with external outreach activities such as career fairs and other community events as needed.
  • Complete New Hire Form I-9, monitor I-9 system and submit to E-Verify.
  • Participate in coordinating employee events, such as New Employee Orientation and HR-led meetings/trainings/celebrations.
  • Assist with and be a liaison to other HR functions (Payroll, Total Rewards, Learning & Professional Development and Employee Experience).
  • Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Assist in processing NMLS requests, monitoring end of year NMLS renewal process and completing semiannual HUD/SAM audit.
  • As needed, cover receptionist desk during lunch hours and when HR Receptionist is unavailable.
  • Perform other related duties as assigned.

Required Skills

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Bachelor’s degree in human resources or related field and/or equivalent experience.
  • At least two years’ related experience required.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.

Under the supervision of the Regional HR Business Partner and in close collaboration with the HR Team, the Human Resource (HR) Associate is responsible for administratively and logistically supporting the recruitment and placement, administration of benefits and entitlements of staff and local external contractors, other HR administration issues and separation of personnel.

Support the administration and implementation of HR strategies and policies in RO in full compliance with UN Women rules, regulations, and HR policies and guidelines
Provide general, standard information to the management and staff on HR strategies, rules and regulations;

Identify ways in which the administrative needs can be met within existing policies; Prepare written response to queries concerning HR related matters.

Provide HR administrative and logistical services to RO and region in full compliance with UN Women rules, regulations, and HR policies and guidelines
Provide administrative coordination in the extension of contracts, processing of national benefits and allowances, and entitlements, and renewal of UNLPs and visas;
Input and track all transactions related to positions, recruitment, benefits, earnings/deductions, retroactivities, recoveries, adjustments and separations through Quantum;
record management;
Process payment, and administer entitlements for international staff as delegated; validate and coordinate local payroll and related issues;
Facilitate staff separation process;
Create/update entries of vendors, PO and Receipts in Quantum system.
Facilitate and coordinate recruitment processes in full compliance with UN Women rules, regulations, and HR policies and guidelines
Prepare recruitment recommendations/supporting documentation for the Central Review Board (CRB);
Provide regular recruitment status reports;
Provide advice to local recruitment in programmes/projects when necessary.
Provide administrative support to staff performance management and learning and development in full compliance with UN Women rules, regulations, and HR policies and guidelines
Monitor compliance with the performance appraisal review in the RO and region and staff learning and development;
Facilitate the preparation of learning plan and individual learning plans in the region, in consultation with the HR Specialist and the HR Business Partner
Maintain data in relation to HR in full compliance with UN Women rules, regulations, and HR policies and guidelines
Maintain and update internal database and files on administrative HR matters in a confidential and secure manner;
Generate a variety of standard and non-standard statistical and other reports from various databases;

Update position data in Atlas, association of positions to chart fields (CoAs), update of CoA information and setting up vendors.

Facilitate knowledge building and knowledge sharing globally
Organize training courses, workshops, information sessions, orientations and consultations for staff;
Provide a synthesis of lessons learnt and best practices in HR administration;

In coordination with supervisor, liaise with HR headquarters in HR administration and staffing to disseminate information on a variety of HR matters.

Language Requirements:
Fluency in English and Spanish is required.

Ethiopia, Haiti, Kenya, Somalia, South Sudan, Tanzania, and Uganda.

Action Against Hunger-USA has over $55 million in programs and approximately 1,600 permanent staff based in New York City, Washington D.C., Nairobi, and country offices.

Job Summary
The Human Resource Associate will provide specialized support to the department.

The role will work with employees throughout the organization, as well as with HR tools, databases, employee files, and organization charts.

This role will assist with recruitment, training and onboarding, scheduling, and answering staff inquiries.

Purpose:

To provide the HR team with confidential support specifically focused on the HR areas of specialization, including recruiting, onboarding, and HR systems.

The HR Associate will be the lead on the management of HR files within Action Against Hunger’s internal HR files systems, scheduling, and being the face of HR for the department with excellent customer service skills dealing with all levels of staff in the organization.

Engagement:

The HR Associate works with all levels of employees within the organization as well as potential employees, employment agencies, external partners, and consultants who work with HR on projects for Action Against Hunger.

Delivery:

The successful candidate will work well with all levels of employees within the organization, as well as outside candidates, vendors, and the general public.

Key activities in your role will include
Essential Job Duties
Recruitment

Takes the lead on creating share point files in our HR systems, scheduling regular onboarding sessions, preparing and maintaining employee files, assisting with job postings, preparing offer letters and other sensitive documents, sending new hire information out to those who participate in the onboarding process and ensure new hires have desks, computers, and the onboarding packet of information.

HR Information Systems

The HR Associate will be responsible for maintaining our internal HR system, which will include creating new hires, terminations, and other necessary changes or updates such as department changes, supervisor changes, and title changes.

This role is also responsible for setting up regular monthly minute conversation reminders and works with the Associate Director of People & Strategy to assist in the annual performance review process.

Coordination
The HR Associate will prepare correspondence, respond to internal and external inquiries, schedule meetings, run reports in the HR System and Excel, coordinate with payroll, audit HR files, and update organizational charts
